Privacy Policy
Shortlist has no account and keeps no copy of your resume. Your resume, the job listings you paste, and every tailored version live on your phone. The only time anything leaves it is when you ask the app to read, score, rewrite or write something with AI, and even then it is processed and discarded, not stored.
This policy describes exactly what is stored, what is sent, to whom, and why. Shortlist is made by Srinivasan Rajendran, an individual developer based in Sweden.
What the app stores on your phone
- Your master resume: the contact details, summary, experience, skills, education and other sections you imported or typed, and an optional photo if you added one.
- Each job: the listing text you pasted (or fetched from a link, or read from screenshots), the match score and evidence, the tailored version, its cover letter, and your layout choices.
All of this is saved only on your device and in your device backups, which you control. Deleting the app deletes it. Deleting a job in the app deletes that job.
What is sent to the AI, and when
Shortlist uses a large language model to do four things: sort an imported resume into sections, score and tailor it to a listing, tidy a note you typed into a resume bullet, and write a cover letter. Each of these happens only when you tap the button for it. The app sends:
- The text of your resume (never the photo, never your phone number or email unless they appear in the text you imported).
- The text of the job listing you pasted, and any note you typed when adding evidence.
The request goes through OpenRouter, a routing service, to a model made by Anthropic (Claude). Both process the text to produce a reply and, under their published policies, do not use it to train models. We have no server of our own in between, no copy of the request, and no way to retrieve it afterwards. Their policies are at openrouter.ai/privacy and anthropic.com/privacy.
Everything else runs on the phone: reading text off a photo or screenshot, the resume check, the match arithmetic, the PDF and Word export. If you paste a job link, your phone fetches that page directly from the site that hosts it, the way a browser would.
Purchases
Your first job is free. Further jobs require a Shortlist Pro subscription. Payment is processed by Apple through the App Store; we never see your card. Shortlist uses RevenueCat to confirm the subscription: it receives an anonymous identifier generated on your device and the App Store receipt, and nothing about your resume or your jobs. RevenueCat's privacy policy is at revenuecat.com/privacy.
Usage analytics
Shortlist counts how the app is used so we can see what works: for example, that a resume was imported, a job was scored, a PDF was exported, or the paywall was shown. Each count carries a random identifier created on your phone, the app version, and the device type. It never carries the text of your resume, a listing, a letter, your name, or your email. These counts are sent to PostHog, stored on servers in the European Union, and used for nothing but understanding the app. We do not track you across other apps or websites and do not use advertising identifiers. PostHog's privacy policy is at posthog.com/privacy.
Crash reports
If you have opted in to share diagnostics with app developers in your iPhone settings, Apple may share anonymous crash reports with us. They contain no personal information and we cannot identify you from them.
Sharing and export
PDFs, Word files and letters you export are yours. When you share one, it goes wherever you send it (Mail, Files, a portal) under that service's terms, not ours.
Children
Shortlist is for people applying for jobs and is not directed at children under 16. It does not knowingly collect information from anyone, of any age.
Your rights
The only data we hold is the anonymous usage counts above, which cannot be tied to you, so there is nothing for us to export, correct or delete on request; everything else is in the app, where you can do all of that yourself. If you are in the EU or EEA and have a question about how the AI providers handle text, contact us and we will help.
Changes to this policy
If a future version of Shortlist changes what it stores or sends, this policy will be updated first, and the date at the top will change.
